Tips for preparing your Sulis module content for the move to Brightspace

Preparing for the move to Brightspace.

This document is to guide users in preparing their Sulis site for moving content to Brightspace.

Note: These are recommendations only and we advise all academic staff to carefully check and review their transferred content in Brightspace, before using it in their live modules. 

Summary

• If you have decided to start with a fresh module site in Brightspace, your old content will not be transferred from Sulis. Please see below for preparation steps and refer to training and available support documents to begin.
• If you are a Moodle user, please see these instructions.
   
• If you have opted to have your Sulis content transferred to Brightspace, please review the steps below and apply where needed:

Panopto	Yes	Your Panopto content is accessible from both Sulis and Brightspace. Organise videos into “My Folder” for easy access from both VLE’s.
Resources	Yes	Content should be organised, e.g., Folders
Syllabus	Yes	Update content if required
Tests and Quizzes	Partial	Set each test to be transferred to “Draft.”
Tests and Quizzes Question Pools	No	Pool Questions found in Draft Quizzes will transfer as part of the Quiz.
Web Links	Yes	Post-transfer work required to update link.

*Note: Some tools may have further post-transfer steps involved. 

Things to note:

Site Size

The standard size of a Sulis site is 2GB. This aligns with the upload limits within Brightspace. Users where possible should try to keep their Sulis site below 2GB in size.

Resources & Content

Resource Tool

Where possible the Folder structure of your content in the Resources too should be limited to three levels. If your folder structure exceeds this, please log a call to notify ITD.

Files

Files names should only contain standard alphanumerical characters. Files names where possible should not contain any special characters.

Remove any unnecessary files prior to the content transfer. Alternatively, you can remove the files during post-transfer in Brightspace.

Lessons

Content uploaded through the lesson tool in Sulis would have been automatically stored in a folder structure matching the structure of the lesson pages. This folder structure and its contents in Sulis will be transferred over to Brightspace and sit in the File Manager tool.

The structure and content such as Text boxes on the Lesson page will not transfer.

Video Files

All video files should be stored in Panopto, not in the Resources tool on Sulis.

Panopto is available cross-platform. You can access your content from both VLEs.

For ease, we recommend users store videos within your “Manage Files Folder.”

Tools

Announcements

Remove any unnecessary Announcements prior to Migration. Alternatively, you can remove them during post migration in Brightspace.

Assignments

Assignments will transfer. Users should review their content and update accordingly.

Discussion Forums

Discussion forums will transfer over to Brightspace. Only the Forum and Topics will move over, but not the content. Users can update dates and other settings prior to content transfer if they wish.

External Tools

Third party LTI Tools will not be transferred. Users who have sourced third party tools, which are not centrally supported, should log a call to ITD to have these tools reviewed to see if they are compatible with Brightspace.

Gradebook

Gradebook Items, but not their content, will transfer to the Grades tool in Brightspace.

Syllabus

The syllabus tool will move over to Brightspace. The transfer will place it as a unit within the Content tool in Brightspace. Users can update the Syllabus prior to content transfer if they wish.

Scorm Packages

While Sulis was not Scorm compliant, Brightspace is.

We will not move Scorm Packages as part of the transfer process but will move them separately.

Users who use Scorm Packages should log a call to ITD, providing the source zip of the package for upload to Brightspace.

Tests & Quizzes

Save any Quiz you wish to transfer in “Draft” mode.

Content transfer will not move published Quizzes.

Question Pools do not transfer.

If you wish to transfer the contents of a question pool. Set up a new Quiz which uses all the questions from your pool and leave it as a “Draft.” This will ensure you have a quiz to move containing all the content.

Export files as 'Markup Text'.

Web Content

Web content Items can move to Brightspace, but users should be aware that you will need to re-establish the link in Brightspace as part of post-transfer work.

Administration

Groups

Groups & Enrolments do not transfer to Brightspace. Users who wish to replicate groups in Brightspace can take note of their structure from Sulis and re-create this in Brightspace.
