General FAQ's

  • Registration/Login Information

    Registration

    You must register for Core Portal the first time that you use it. You may then login using your Network Username and password.

    To Register for Core Portal please click on the following link - Core Portal Registration

    In order to register for Core Portal you must have a current contract with the University and a valid UL network account. If you are a new employee please refer to the New Employees section of the ITD website.

    To access the Employee Self-Service site please click on the following link: Employee Self-Service.

     

    Login Information

    If your password has been entered incorrectly 3 times in succession then it will be locked. In this case a call should be logged to the ITD service desk through the ITD website ITD Service desk  to have it unlocked.

  • Where is the Main HR Office?

    The Main HR Office is located in the Main Building, Room D1-042

  • What is the University’s Employer Registered Number?

    0032116A

  • What are the Administrative hours?

    The revised working hours (as per Haddington Road) are as follows:

    Administration staff hours are

    • 09:00a.m. to 5:15p.m. Monday to Thursday
    • 09:00a.m. to 5:00p.m. Friday
    • (Lunch 1:00p.m. to 2:00p.m.)
  • When are monthly salary payments made?

    Monthly salary payments at UL are normally made on the 25th of each month by direct debit into your bank account however this needs to be verified with the payroll office every month.

  • Where do I get the UL Salary Scales?

    The staff salary scales are available on the HR website

  • What documentation is required by payroll office?

    All new members of staff who have had previous employment in Ireland should submit Form P45 to the payroll office as soon as employment commences.

    If you have not previously worked in Ireland or do not have a Form P45, you should contact the Tax office for a Certificate of Tax Credits and Standard Rate Cut-Off Point, which should be submitted to the Payroll office.

  • How do I apply for Tax Credits?

    In order to deduct the correct tax from your salary, you will need to apply for a Certificate of Tax Credits (Form 12A).  Please go to www.revenue.ie to download the Form 12A. 

    The Form 12A should be submitted as soon as possible to minimise the risk of ‘emergency tax’ at 42%.  Emergency tax is applied in cases where your tax credits are unclear.  If emergency tax is initially applied, the appropriate reimbursements will be made to you as soon as your tax situation is clarified.

    Both the employee and the University of Limerick will be notified of tax credits.  The University will make the necessary tax deductions from your salary.

  • How do I contact the Tax office?

  • What is a PPS Number?

    A Personal Public Service number is your unique reference number for all your dealings with the Public Service (e.g. applying to the tax office for a tax credits certificate, applying to the Department of Social, Community, and Family Affairs for a Social Welfare payment scheme etc)  The PPS number replaces the RSI number (Revenue and Social Insurance Number).  If you already have an RSI number this is now your Personal Public Service number.  More information about the PPS number can be obtained at the Department of Social Welfare website

  • Where do I get a PPS Number?

    The number may be obtained at the local Social Welfare Office in Dominic Street, Limerick.  It is not possible to get a PPS number before entering the country if you are entering Ireland for the first time (Contact number: 00 353 61 414799).

    The PPSN registration centre only take applications on Monday to Friday mornings from 09:30p.m to 04:00p.m.

    You will be required to present yourself to the registration centre and bring the following identification:

    • Current passport
    • Evidence of either birth/work/residencey/unemployment/education/tax liability in EU country, and
    • Evidence of an address in Ireland (If unable to provide contact HR)

    Once there you need to complete Form Reg1 (available at the Social Welfare Office).  In cases where a new PPS number is allocated, you will be advised of your new number through the issue of a letter of notification sent automatically to the address given on the application form with 3 to 5 working days.

  • Where do I get a Staff ID card?

    ID cards are issued by the Human Resources Office D1 042 Monday to Friday between the hours of 12:00 and 13:00 Staff must present themselves to the HR Office to have their photo taken. 

    Your ID card will be required if you wish to join and access the Library, Sports Arena and avail of a parking permit.

  • How do I get a UL parking permit?

    Employees must have a valid staff ID to obtain a parking permit.  Permits are issued by Building & Estates in Room AM-065 on Wednesdays, Thursdays and Fridays between 3pm and 4pm .

  • When and where do I apply for a Work Permit?

    The Employment Permits Act 2003 states that a Non-EU national may not work in the State without an employment permit having been granted by the Minister for Enterprise, Trade & Employment.  The Human resources office will process and make contact with the Department of Enterprise, Trade & Employment in relation to all work permit applications in respect of prospective employees or renewal of work permits for existing employees of UL.

    Please note that employees cannot commence employement with the University until their Work Permit/Hosting Agreement has been issued.

  • When will I receive my Contract?

    All new staff members will be issued with a contract of employment before commencing employment.  The contract of employment will lay out all terms and conditions of employment.  If you have any queries of your contract, please contact the main HR Office.  All contracts must be signed and sent back to Human Resources Division, Room D1 042, University of Limerick.
